This notice applies to the online seminars (e.g. KA120, KA122) delivered via Zoom by Inkludio Training.

What we collect & why

1. What data we collect

When you register for an online seminar, we may collect the following personal data: name and surname, email address, contact phone number, organisation or school where you work, invoice type (individual or organisation), and the billing details necessary to issue a legal invoice.

We do not collect data that is not necessary for online participation: we do not ask for nationality, travel details, or language-level certification, as the seminar is delivered remotely in Greek.

Important: Please do not include sensitive personal data (e.g. medical information) in free-text fields. For specific accessibility needs, please contact us at info@inkludio.gr.

2. Why we use your data

We use your personal data exclusively for the following purposes:

  • To process your registration and reserve your seat in the online seminar.
  • To send you the Zoom link, the programme and the training materials.
  • To keep attendance records (via the Zoom participant list) and issue the Certificate of Attendance.
  • To issue invoices or receipts in accordance with our tax obligations.
  • To communicate with you before, during and after the seminar (e.g. evaluation).

We do not sell your data and we do not use it for advertising purposes.

3. Zoom sessions — not recorded

Sessions are not recorded. Inkludio Training does not record video, audio or screen content during online seminars.

While you participate in Zoom, your video and audio are visible to other participants in real time, but they are not stored by us.

Participants are not permitted to record audio, capture video or take screenshots without the written consent of the trainer and the other participants.

4. Legal basis for processing

Contractual necessity

Processing is necessary for the performance of the training-services contract entered into upon your registration (Article 6(1)(b) GDPR).

Legal obligation

Processing of billing details is necessary to comply with Greek tax and accounting obligations (Article 6(1)(c) GDPR).

Legitimate interests

Seminar evaluation and quality improvement are processed on the basis of our legitimate interests (Article 6(1)(f) GDPR).

CHAPTER 02

Sharing, retention & rights

5. Who we share your data with

We share personal data only when necessary and exclusively with:

  • Our accountant / financial service provider, for invoicing and accounting obligations.
  • IT providers (website hosting, email, cloud storage).
  • Zoom Video Communications, Inc. as the videoconferencing platform provider. Zoom has its own privacy policy available at zoom.us/privacy.
  • Stripe as the payment provider for card transactions.

Where required, our service providers act under written data-processing agreements.

6. International data transfers

Some providers (e.g. Zoom, Stripe) may process personal data outside the European Economic Area (EEA). In such cases, we take reasonable steps to ensure appropriate safeguards under Chapter V of the GDPR (Standard Contractual Clauses or European Commission adequacy decisions).

7. How long we keep your data

We retain billing data for five (5) years from the end of the fiscal year, in accordance with Greek tax obligations (Law 4308/2014 art. 7 and Law 4174/2013 art. 13).

Attendance and certification data is retained for five (5) years for documentation purposes. Communication data (such as evaluation emails) is deleted within one (1) year after the end of the seminar.

8. Your rights

Under the GDPR, you have the following rights:

  • The right to access, rectification and erasure of your data.
  • The right to restriction, objection and data portability.
  • Where processing is based on consent, the right to withdraw consent at any time.

You also have the right to lodge a complaint with the Hellenic Data Protection Authority (HDPA) at www.dpa.gr.

9. Automated decision-making

We do not carry out any automated decision-making or profiling that produces legal effects concerning you or that similarly significantly affects you.

10. Changes to this notice

We may update this Notice from time to time. The updated version will be made available on our website and, where appropriate, communicated to you directly.
