16 hours over 4 afternoonsThe seminar combines detailed theory with practical exercises on every stage of implementing a KA121 project.

This seminar is for you if…

…you are a teacher or a member of staff at a general education school, a vocational education and training provider or an adult education provider that holds an Erasmus accreditation, and you are responsible for implementing your organisation's annual KA121 grant.

Your organisation has recently received an Erasmus accreditation and is implementing its first KA121 grant.

The accreditation is based on the organisation's Erasmus Plan, and each year the KA121 grant funds the mobility activities that put it into practice. Projects have an initial duration of fifteen months, which can be extended to twenty-four, and all activities follow the Erasmus quality standards. In the seminar, you learn the obligations of an accredited organisation and how each grant links to the objectives of the Erasmus Plan.

You already manage KA121 grants and want to organise your processes more effectively with the help of artificial intelligence and digital tools.

In the seminar, you practise searching for host organisations with the help of artificial intelligence and monitoring the budget and mobility activities with digital tools.

You need guidance on the final report to the National Agency and on assessing the project's results.

In the final report, the National Agency examines how the activities contributed to the objectives of the Erasmus Plan. In the seminar, you learn to assess participants' learning outcomes and to put together a well-supported final report.

What your participation includes

  • 16 hours of online training

The seminar takes place over four afternoons via Zoom: two afternoons of clear, detailed theory on the action, the Erasmus quality standards and the implementation stages, and two afternoons of practical exercises on managing an approved project.

  • E-workshops in small groups

In each e-workshop, you work with other participants on a hypothetical approved project: you organise its digital records, search for host organisations with the help of artificial intelligence and improve final report answers. You present your group's results to all participants.

  • Extra

    The seminar's Padlet

The Padlet brings together Erasmus+ Programme guides, checklists for applying the Erasmus quality standards at every stage of activity implementation, workshop materials and useful links. Once you register, you can access all the materials and save them to your computer. Access remains active until one week after the seminar ends.

  • Certificate of attendance

When you complete the seminar, you receive your certificate of attendance by email, at the address you provided when you registered.

After 16 hours, you will be able to:

  • understand the obligations of an accredited organisation and how each annual KA121 grant links to the objectives of the Erasmus Plan.

  • plan and organise mobility activities in line with the Erasmus quality standards and search for suitable host organisations with the help of artificial intelligence.

  • manage the project budget, record mobility activities in the Beneficiary Module and keep supporting documents where real costs apply.

  • assess participants' learning outcomes and plan how the results will be shared inside and outside your organisation.

  • write the final report to the National Agency, showing how the project contributed to the objectives of the Erasmus Plan.

The seminar programme by day

The first two days are devoted to theory and the last two to practical group exercises, so that each day builds on the previous one.

  1. 1
    Day 1

The Erasmus accreditation and the KA121 grant

The first day presents the relationship between the accreditation and the annual KA121 grant, and the obligations that follow from it.

    Theory

    • Participants get to know each other and the seminar's expected learning outcomes are presented.
    • The framework in which an accredited organisation operates is presented: the distinction between the KA120 accreditation and the annual KA121 grant, project duration and the link with the Erasmus Plan.
    • The implementation obligations under the Erasmus quality standards are analysed, from selecting and preparing participants to recognising learning outcomes and sharing results.
  2. 2
    Day 2

    The stages of implementation

The second day presents the stages of implementation, from planning mobility activities to the final report.

    Theory

    • The planning and organisation of mobility activities are presented, based on the organisation's needs and the objectives of the Erasmus Plan.
    • The budget rules are analysed, namely the unit-cost and real-cost categories, together with recording mobility activities in the Beneficiary Module.
    • The requirements of the final report to the National Agency are presented.
  3. 3
    Day 3

    Organising the project in practice

The third day is devoted to practical exercises on a hypothetical approved project.

    Practical exercises

    • Participants work in small groups in Zoom breakout rooms.
    • Each group organises the project's digital records and monitors the budget and mobility activities with digital tools.
    • Each group then searches for suitable host organisations and course providers with the help of artificial intelligence.
  4. 4
    Day 4

Assessing results and the final report

The fourth day links participants' learning outcomes to sharing results and to the project's final report.

    Practical exercises

    • The groups plan the assessment of learning outcomes and how results will be shared inside and outside the organisation.
    • The groups then improve final report answers for a hypothetical project, present their work to all participants and receive feedback before the seminar closes.

What participants say about our seminars

«The seminar I attended was very interesting and informative, with many useful details. Above all, though, it gave me confidence and encouragement to write the application. Many, many congratulations.»
«I attended Mr Barmpas's training on writing an accreditation application for our school. His guidance was complete and structured, and his workshops helped me greatly to understand the steps towards a good application.»

  • He has been assessing Key Action 1 and 2 applications for Erasmus+ National Agencies at national and European level since 2020, as well as KA122 final reports and progress reports from accredited organisations, and knows from his own experience what an evaluator looks for in a progress report.
